HOW WE HELP 500 DEFENDERS A MONTH

Our mission

Sunflower Seeds Ukraine exists to save lives and strengthen the resolve of the Ukrainian people. We’re 100% volunteer-run with more than 20 team members operating in the U.S. and >10 distribution team members on the ground in Ukraine. Our direct contacts on the front lines—hospitals, military and national guard brigades, territorial defense units—drive every purchasing and delivery decision we make, based on statistically significant aggregated numbers, not just cases and anecdotes. Requests come directly from people who have urgent needs, not intermediate volunteer groups, and every shipment is designed to meet real, immediate problems.

Why small grassroots groups matter

Large aid organizations and government supply chains play critical roles, but they can’t always meet every need quickly or precisely. Supply lists, procurement timelines, and bureaucracy mean many useful items—specific medical disposables, fit-for-purpose protective equipment, or weather-relevant field gear—aren’t available when and where they’re needed. Local conditions change rapidly; equipment is damaged or lost in combat; new gaps appear as the frontline tactics shift.

Small, agile nonprofits close those gaps until government military supply chains establish more permanent solutions to emerging problems. We move faster, make decisions based on direct, local data, and can buy or forward items that larger systems overlook. This nimbleness saves lives—a single tourniquet of the right kind, a suitable water purifying or carrying piece of gear, or a specific electronic part can mean the difference between life and death for a Defender. 

The needs, in numbers

Numbers clarify the scale and the strain:

  • 700–800 requests arrive each month from frontline individuals and each is validated by our team members.

  • The cumulative need is roughly $70–80K per month.

  • We fulfill $50–60K in aid monthly, which covers about 500-600 requests.

  • That leaves an operations gap of $20–30K we must close, prioritize, or triage.

  • Average request costs $80–$120, covering $400-500 retail market price thanks to our bulk and surplus purchasing, and providing immeasurable moral support value  

These figures show both constant demand and the narrow margins we operate within. Meeting every legitimate request would require more flexible funding and more hands on deck; until then, we triage and maximize impact where it counts most.

How we process requests

Our intake process is simple by design so it can be fast and reliable:

  • Intake: Requests arrive through a secure web form. The form captures who’s asking, where they are, what they need, why they need it, and any constraints.

  • Verification: Every request is acknowledged by email and checked through messaging apps. We confirm Defender identities, deployment status, location, and intended use. Verification is essential to ensure lifesaving supplies reach those who will use them effectively.

  • Prioritization: We prioritize fulfilling front line rather than training center requests, and distributing life-saving and stabilization items—medical supplies, trauma kits, protective gear, and equipment that enables shelters and emergency services to function.

  • Feedback: After delivery, recipients confirm receipt with photos and short reports, as well as a web feedback form. This closes the loop, helps us assess effectiveness, and informs future procurement so we continually improve what we send.

How we obtain gear

We use a blended sourcing strategy to be fast, flexible, and cost-effective:

  • Local first: Whenever possible, we purchase in Ukraine. Local buying shortens lead times, supports the economy, and reduces transport risk.

  • U.S. sourcing: For protective and field gear, we source from U.S. suppliers—leveraging donations and grants to move goods fast.

  • International vendors: For specialized electronics or optics equipment not available locally or in the USA, we work with trusted international manufacturers and ensure compliance with quality standards.

  • Quality and compliance: Every supplier is vetted; medical items and technical gear require testing where appropriate. Donations are inspected, tested when needed, and paired with manuals or spare parts.

  • Community partnerships: Community networks, small businesses, and sympathetic manufacturers donate surplus, provide discounts, or help with logistics. Those relationships multiply our impact.

How we get supplies to the front lines

Logistics in a conflict zone demand flexibility and security:

  • Vertically integrated approach: We manage the full cycle—from request intake and procurement to packing, shipping, and delivery confirmation—so nothing falls through the cracks.

  • Pack and stage: The volunteers in the USA pack pallets and load containers. The team in Ukraine assemble IFAKs and compose packages delivered to fulfill individual requests .

  • Transport: We use validated carriers, chartered trucks, and partner networks for international delivery. In Ukraine, trusted local carriers and services like Nova Poshta handle much of the last-mile distribution.

Transparency and stewardship

Every dollar donated goes directly into procurement, logistics, and aid. We maintain clear records—every shipment is logged, every request closed with confirmation, and we publish regular updates through social media and newsletter impact summaries. Accountability matters—donors deserve to see how funds are used and what their support delivers.
